Every autumn, the same scene in boatyards: the hardstanding fills up, the phone never stops, and everything rests on photocopies and a spreadsheet only its creator understands.
Winterising looks like routine because it happens every year. That is precisely why it forgives so little: when something goes wrong, it goes wrong multiplied by every vessel ashore. And the causes are almost never technical. They are matters of method.
The holes in paper and Excel
The first is the generic checklist. The same photocopied sheet serves an eight-metre sailing yacht and a motorboat with twin sterndrives, and the result is predictable: tasks that do not apply get crossed out, tasks that do apply never appear, and the shaft anode goes unchanged because "it wasn't on the list". The list does not protect the boat: it protects whoever photocopied it.
The second is the haul-out schedule spread across a whiteboard, a messaging group and the hoist driver's memory. Two boats booked into the travel lift at the same time are not bad luck: they are the statistical consequence of planning the same resource in three places at once.
The third is the spare part ordered too late. The boat is already ashore, chocked up and taking up yard space, and only then does anyone discover that the replacement bilge pump never arrived. Every day of waiting is a day of occupancy nobody invoices, and a spring launch that slips.
And the fourth is the most expensive of all: the verbal quote. October's "do the usual, same as every year" becomes an argument in April, with the invoice on the counter and one person's word against the other's memory. Nobody there loses the argument: both sides lose trust.
Winterising as an operational process
Treating winterising as a process means every vessel arrives with its own file and leaves with that file closed. On Odoo, that comes down to five pieces that ship as standard:
- A task list per vessel. Templates by boat type — sail, motor, RIB — adjusted case by case. No photocopies: the list lives in the work order, with a record of who did what, and when.
- Haul-out planning. The travel lift and the hardstanding share a single calendar. Lift-out, chocking, works and launch are scheduled against the same resource, and any overlap shows up before it happens — not on the slipway.
- Every job, an order. Every intervention — engine, underwater hull, rigging, electronics — is an order with its technician, its date and its logged hours. If it is not in an order, it does not exist.
- Spare parts reserved against that order. When the job is confirmed, the parts are reserved against that order. The impeller, the anodes and the filters are set aside before the boat reaches the hoist.
- A signature before the boat is touched. The quote goes out, the owner signs it digitally, and only then does the order start. In April there is no argument: there is a document.
A winterising done well goes unnoticed in November. It shows in April, when the engine starts first time and nobody disputes an invoice.
A single flow
The fundamental difference is not the tool: it is that everything hangs from the same thread. The signed quote generates the order; the order reserves the spare parts; the technicians' job sheets feed the invoice; and the invoice reproduces, line by line, what the customer signed months earlier. There is no whiteboard to reconcile with the Excel, and no Excel to reconcile with the folder, because there is no whiteboard, no Excel and no folder: there is one file.
When the paper disappears, the work does not disappear with it. What disappears is the work of reconciling papers against each other — precisely the work nobody charges for and everybody pays for. That is the paperwork to eliminate first.
